JPS is the data controller for the personal information described in this notice.

Juniper Rentals is the trading name and guest-facing accommodation booking website operated by Juniper Property Services Limited. It is not a separate company. This Privacy Notice primarily covers the owner-facing JPS website and property-management enquiries. Guest bookings made through Juniper Rentals have their own booking process and associated guest-facing information; this notice does not replace those arrangements.

Sanna Design Studio is an affiliated interior design and renovation partner and is a separate business, not an internal department of JPS.

2. Personal information we collect

When you use our Discuss Your Property enquiry form, we may collect:

  • Your name, email address and telephone number.

  • The type, general location and approximate size of your property or portfolio, including the number of accommodation units.

  • Your current letting or management arrangements, the services you are interested in and your intended timescales.

  • Links to any current booking listings or website for the property.

  • Information about the property's readiness, proposed works or interest in a possible introduction to Sanna Design Studio.

  • Any other information you choose to provide in the enquiry.

We ask for a town, area or postcode where appropriate, rather than requiring a full property street address in the initial form. Please do not enter guest details, bank or payment-card information, passwords, identity documents or sensitive personal information in the enquiry form.

When you contact us by email or telephone, we may retain your contact details and a record of our communications. If a suitable enquiry progresses, we may collect additional information necessary to discuss your property, assess a management proposal or enter into an agreement. Any later exchange of detailed documents should use a method that we have agreed with you.

Our website and hosting services may also process technical information, such as IP addresses, browser or device details, pages requested, approximate location, timestamps and security or diagnostic information. Some technologies require cookies or similar storage. Please see our Cookie Notice.

3. How and why we use your information

We use personal information only where we have an appropriate lawful basis under the UK GDPR.

  • Responding to an enquiry from an individual who may enter a management agreement with us; discussing the property and preparing requested feasibility information or proposals
Lawful basis: Steps requested before entering into a contract (Article 6(1)(b)), where the individual is the prospective contracting party

  • Responding to representatives of companies, estates, partnerships or other business owners; assessing suitability and discussing potential services
Lawful basis: Legitimate interests (Article 6(1)(f)) in responding to genuine business enquiries and developing our management business

  • Keeping reasonable enquiry records, following up on discussions, allocating work and managing our sales pipeline
Lawful basis: Legitimate interests (Article 6(1)(f)) in administering and developing our business, subject to individuals' rights

  • Sharing agreed contact details with Sanna Design Studio for a requested introduction
Lawful basis: Consent (Article 6(1)(a)), obtained separately before we share those details

  • Maintaining website security, diagnosing faults and preventing misuse
Lawful basis: Legitimate interests (Article 6(1)(f)) in protecting our website, systems and users; legal obligation (Article 6(1)(c)) where applicable

  • Using non-essential analytics cookies, if enabled
Lawful basis: Consent (Article 6(1)(a)), under our planned opt-in cookie approach

  • Complying with applicable laws, accounting or regulatory obligations
Lawful basis: Legal obligation (Article 6(1)(c))

  • Establishing, exercising or defending legal claims where necessary
Lawful basis: Legitimate interests (Article 6(1)(f)), or another applicable lawful basis

Where we rely on legitimate interests, we consider the reasonable expectations and privacy rights of the people involved. You can contact us if you wish to object to processing based on legitimate interests.

Our enquiry form asks you to confirm that you have read this Privacy Notice. That acknowledgement is not consent to marketing and does not replace the lawful bases above.

Sanna introductions

Selecting an option saying you may be interested in Sanna Design Studio does not automatically send your personal information to Sanna. If you ask us to arrange an introduction, we will explain what we propose to share and request your separate agreement before doing so. You may withdraw that permission before the introduction takes place. Once Sanna receives information as a separate business, it is responsible for explaining its own processing of that information.

Marketing and automated decisions

We do not send a marketing newsletter or promotional mailing list from this website at launch. If we introduce marketing emails later, we will update our notices and introduce appropriate separate preferences and opt-in arrangements where required. Replies and follow-ups about a management enquiry are not treated as newsletter subscriptions.

We do not make decisions about prospective owners solely through automated processing that produces legal or similarly significant effects. A member of the JPS team reviews management opportunities.

4. Who may receive your information

We do not sell personal information. Depending on what you ask us to do, the information may be accessible to:

  • Authorised JPS staff, including those assessing enquiries and managing prospective client relationships.

  • Squarespace, which hosts this website and supports the enquiry form.

  • Google reCAPTCHA, which Squarespace uses to protect the enquiry form from spam and automated abuse. It may process technical information such as your IP address, browser details and how you interact with the page.

  • Google Workspace, which we use for business email, documents and, where configured, our internal enquiry-tracking spreadsheet.

  • Sanna Design Studio, only when you have requested an introduction and agreed what details we may share.

  • Professional advisers or public authorities where reasonably necessary for lawful business activities, legal advice, compliance or legal obligations.

Information submitted through the owner enquiry form is not transferred into our guest booking or property-operations systems as part of the website enquiry process. The statistics shown on this website are calculated from aggregated booking and review data and do not contain identifiable guest or enquirer information.

Property owners do not receive access to guest personal information merely because their properties are managed by JPS. Data handling for actual guest bookings and individual management relationships is separate from the limited scope of this owner-facing website notice.

5. Processing outside the United Kingdom

Our service providers, including Squarespace and Google, may store or access personal information from locations outside the United Kingdom. Where UK data protection law treats this as a restricted international transfer, an applicable transfer arrangement is required. Such arrangements may include UK adequacy regulations or appropriate contractual safeguards.

For information about the safeguards relevant to your data, please contact us using the details above.

6. How long we keep information

Our intended retention periods for the owner-enquiry process are:

  • Enquiries that do not result in a management agreement: normally 24 months from our last meaningful contact, after which the enquiry information is deleted or anonymised unless there is another justified and documented reason to retain it.

  • Enquiries that result in a management agreement: relevant client records are normally retained during the agreement and for six years after it ends, unless a different retention period is required or justified by law or a particular record type.

  • Technical and website analytics information: retained according to its purpose, the actual provider settings and our documented retention arrangements. See our Cookie Notice for cookies and similar technologies.

  • Rights requests and complaints: kept only as long as reasonably necessary to respond, demonstrate compliance and deal with associated issues under a separate internal retention schedule.

Our team will apply the retention policy to the relevant Google Workspace records and other approved systems. Where back-up copies are retained for a limited period, they are managed under the applicable backup and deletion procedures.

7. Protecting your information

We use technical and organisational measures designed to protect personal information from unauthorised access, loss or misuse. Access to management enquiries is limited to authorised personnel using company-controlled accounts and appropriate permissions.

No internet service can be guaranteed to be entirely secure. Please avoid providing bank details, passwords or confidential guest records through the initial enquiry form.

8. Your data protection rights

Depending on the circumstances, you may have rights to:

  • Be informed about how we use your personal information.

  • Request access to personal information we hold about you.

  • Have inaccurate personal information corrected.

  • Request deletion or restriction of processing.

  • Object to processing based on legitimate interests.

  • Request the transfer of certain information to you or another organisation where the portability right applies.

  • Withdraw consent at any time where consent is our lawful basis. Withdrawal does not affect processing carried out lawfully before it was withdrawn.

These rights have legal conditions and exceptions. We will normally respond to a valid rights request within one calendar month, subject to any permitted extension or need to verify your identity.

To make a request, email info@juniper-rentals.co.uk or write to our registered office, stating that your request concerns JPS data protection.

9. Data protection complaints

If you believe we have handled your personal information incorrectly, you can complain directly to JPS by emailing info@juniper-rentals.co.uk, telephoning 01786 232192, or writing to our registered office. Please indicate that your message is a data protection complaint and provide enough details for us to understand your concern. You do not need to use any particular legal wording.

We will acknowledge a data protection complaint within 30 days of receiving it. We will take appropriate steps to investigate without undue delay, keep you informed where an investigation takes time, and communicate the outcome as soon as reasonably practicable. Acknowledgement within 30 days is not a promise that an investigation will be completed within that period.

You also have the right to complain to the Information Commissioner's Office (ICO) at any time: ico.org.uk or 0303 123 1113. You do not have to finish our internal process before contacting the ICO.

10. Children

The JPS website is intended for property owners and business contacts. It is not directed at children, and we do not deliberately ask children to submit enquiries. If you believe a child has provided us with personal information, please contact us so that we can consider the appropriate action.

11. Updates to this notice

We may update this Privacy Notice when our practices, service providers or legal requirements change. The publication date at the beginning of this notice will show when it was last updated.
